Connect a cloud drive

Sync a folder from your cloud storage into a workspace, so the files on your drive are the files your agents work with.

Before you start

You need a workspace for the folder to sync into. Any one will do, and you can create one on the way.

You need an account with the storage service, with access to the folder you want.

You need that service to be one your installation offers. Google Drive, Dropbox, OneDrive and Box sign you in through the browser, and WebDAV, S3 and SFTP take a short credentials form, but only the ones your installation was set up with can be chosen. A service that was not set up is greyed out and reads "Not set up on this server".

Steps

  1. Say what you want, naming the service, the folder and the workspace: "connect my Google Drive and sync the Invoices folder into the Accounts workspace". If the workspace does not exist yet, say so and it is made on the way.

  2. Your assistant checks the service is set up on your installation, then gives you a sign-in link. Open it and approve the access in your browser. Your password never passes through the chat, and your assistant will refuse one if you offer it.

  3. Say which folders, or let it show you what is on the drive. You are looking at the drive itself, so a folder that does not exist yet can be made there. The whole drive is offered too, though one working folder is usually the better choice.

  4. Say which way the files should travel. Two-way keeps both sides matching, which suits a folder you and your agents both work in. Download only copies the cloud folder into the workspace and never writes back, which is right for reference material. Upload only publishes what the workspace holds out to your drive. Two-way is what you get if you do not say.

  5. Each folder arrives inside the workspace under the account's name, and the first sync starts on its own. Ask "has the Invoices folder synced?" and you get the answer.

Everything above can be seen, and done by hand, on the workspace's Cloud sync tab: open Manage > Files (/workspaces), open the workspace, and the tab shows the connected account, each folder's row with when it last synced and live progress while a sync runs, and buttons to sync now, run a full resync or detach. Connect storage and Add folders there do the same as asking. The drives you have connected also show as chips along the top of the Files page.

What is and is not synced

Ordinary files travel in whichever direction you chose, and anything an agent writes into that folder turns up on your drive.

A code repository is the exception. Its tracked files copy across, but the repository's own hidden bookkeeping never syncs either way, because a two-way sync would damage it rather than copy it. What lands on the other side is a working copy, not a clone, so clone it from its own remote if you want to work on it elsewhere.

Synced folders never nest, and the top of a workspace is never a sync target, so attaching a folder inside or around one you already sync is refused with a message naming the folder in the way.

If more than half the files on one side have gone, the sync stops itself and changes nothing. That is a safety check rather than a fault: if you meant to delete them, sync again and it goes through; if you did not, the other side still holds everything.

Detaching stops future syncing: the files already in the workspace stay, and nothing is deleted on your drive.

If something goes wrong

A folder that fails says why on its own row, in plain words. If the account needs reconnecting, ask your assistant to reconnect it (or run Connect storage again on the tab) and the folder picks up where it left off. If your provider is rate-limiting the transfer, the sync waits and retries by itself.

A full resync, asked for or pressed on the folder's row, is for a two-way folder that looks wrong: files missing or out of date, and an ordinary sync does not put it right. It rebuilds the comparison from scratch, which is slow on a large folder. It deletes nothing, so anything you removed on one side comes back from the other until one ordinary sync has finished after it.

If a folder syncs but nothing arrives, check where the files were written: a folder that merely looks like the synced one, made elsewhere in the workspace, never syncs.

Where next

Workspaces and files covers the rest of what a workspace does, and Workspaces and Memory Spaces explains what belongs in a file and what belongs in memory.

Build a knowledge base is next if you want these files searchable by meaning, and Let it see and act shows what your agents do with the connections you give them.
